Tips for Planning an Event

Meeting

Hosting a special event like a block party or picnic is a great way to meet your neighbors, promote community spirit, and have fun. The key to hosting a successful event is in the planning. The following are tips for planning your special event.

Initial Planning

  1. Establish purpose of event (Community Spirit, Informational/Educational, Fundraiser, Awards Presentation, etc.)
  2. Set a tentative date, time, and location
  3. Organize committee

Brainstorming

  • Identification of needs—Location, Permits, Insurance, Food, Drinks, RSVP date, Sponsor, Entertainment, Invitations, etc.
  • Delegation of duties to research needs

Getting Organized

  • Compare notes! Evaluate findings from researching needs
  • Based on the evaluation of needs, identify any additional requirements, make decisions
  • Develop an event checklist
  • Identify timeline requirements for permit applications, location and catering requirements, invitations, publicity, etc.
